Step 1: Fill in a trip application form. Each applicant should fill out an individual form. You may fill in an online trip application or download forms that may be filled in and returned by email or fax. If the traveler is a minor (under 18) and will not be traveling with a parent or guardian, then you must use a downloaded form and fax the application back with the appropriate release signatures.
Once we receive your application, we will send you a confirmation notice and information needed to prepare for your trip to Mongolia.
Step 2: Once you receive your confirmation notice, make a deposit payment according to the following schedule: At time of reservation or 45 days prior to departure: 50% of trip cost. Prior to first day of service or upon arrival: Balance of trip cost.
So that you can benefit from the lowest possible prices, all of our fixed departures are priced according to the number of paying participants on the trip. We list several tier prices for most trips. This allows you to benefit from shared costs when possible and also allows us to run trips with as few as two participants. Tier pricing is calculated on the number of paying passengers that have made a deposit by 45 days prior to departure, and excludes Mongolian Ways staff, trip leaders, and guests (photographers, guides-in-training).
If it becomes necessary for you to cancel your trip to Mongolia, the following fees will apply. Cancellation fees are calculated by the number of days between date we receive your written cancellation notice and the first day of service.

30 to 15 days notice - 50% refund
15 to 5 days notice - 30% refund
Less than 5 days notice - No Refund
Rates are based on group participation and no partial refunds will be given for an unused trip for any reason whatsoever. Once you have been confirmed on a trip that requires a medical certificate signed by a doctor, normal cancellation penalties applies if your doctor does not sign the certificate.
Mongolian Ways Co., Ltd reserves the right to cancel any trip prior to departure for any reason whatsoever, including insufficient signup or logistical problems that may impede trip operations. The refund of all land payments received shall release Mongolian Ways Co., Ltd from any further liability. A trip canceled due to insufficient signup would normally occur at a minimum of one month prior to departure.
Mongolian Ways Co., Ltd must normally make substantial payments to its suppliers (hotels, transportation companies, etc.) far in advance from the scheduled embarkation date. If a trip is canceled due to force majeure (acts of God, war, labor strikes, earthquake, flooding, etc.), Mongolian Ways Co., Ltd will promptly refund the portion of the trip cost not already advanced to suppliers and use its best efforts to recover and refund the balance as promptly as possible. However, Mongolian Ways Co., Ltd does not guarantee recovery of any or all of the advance payments made, and our use of best efforts to recover these payments will not include the institution of any legal proceedings in foreign jurisdictions.
Mongolian Ways Co., Ltd is not responsible for expenses incurred by trip members in preparing for a canceled trip (e.g., nonrefundable advance purchase air tickets, visa fees, inoculations, equipment, etc.) or for any additional arrangements should the trip member have embarked prior to the scheduled group departure date. For this reason, we highly recommend that you purchase travel insurance. Once you have been confirmed on a trip that requires a medical certificate signed by a doctor, normal cancellation penalties apply if your doctor does not sign the certificate.
